Services & Fees

Travel planning involves extensive time & research & is based on years of personal experience & professional expertise. Research includes, but is not limited to; destinations, hotels, cars/transfers, air, excursions, & tours. Suppliers may be contacted, transportation arranged, & itineraries created. Your final itinerary & documents are designed to provide as positive an experience as possible, given any unforeseen events that are associated with & which can happen during travel.

I spend much time & effort finding you the very best value; the lowest rate with the best schedule & experience. However, rates may change without notice. By accepting this agreement you agree to come back to me if you believe you have found a lower rate for a comparable package, giving me the opportunity to save the business. It may very well be that the rates have changed or components I have included are not included in the price that you have found.

 

I agree to provide services as follows

  1. Initial Consultation: I have an extensive consultation process that is designed to learn more about your travel needs, vacation style, travel history, budget, activity interests, etc. I use the information gathered to create custom-designed itineraries that are perfectly matched to your needs, desires, & budget.

  2. Planning: I research a variety of flights, hotels, tours, cruises, excursions, restaurants, etc., & provide consultation to you & your traveling companions during the planning stage. All inquiries are answered in a timely manner.

  3. Booking: I will utilize suppliers that are highly regarded & offer impeccable service & value. I will facilitate the booking of various travel components including airfare, hotel, resort, cruise, ground transportation, excursions, restaurant reservations, etc. I will also manage travel details such as deposits, payments, invoicing, room allocation, & give information about COVID restrictions/procedures.

  4. Customer Service: While I do maintain standard office hours (M-F / 9a-5p) I will respond to time-sensitive issues at in the evenings, or on weekends & holidays. I will do my best to answer all of your questions in a prompt manner in general. In the event of during-travel emergencies I am available at any time & will do anything I can to ensure that your situation is handled as quickly & efficiently as possible.

  5. Pre-Departure: I will provide a detailed final itinerary & all travel documents will be released no later than 5 days prior to departure provided that the trip has been paid in full.

  6. Post-Return: I will follow up with you to gain insight into your experience with my services & my suppliers. I will request pictures & a review to be used on my website & social media pages, but I will not name or tag you on these posts.

 

Service Fee Structure

To begin work, an initial planning fee is generally required. Fees vary depending on the type of trip & the number of travelers. Once the appropriate fee is paid in full, Rachel Busch Jones will secure & confirm travel arrangements as agreed.

The planning fee includes itinerary/trip options specifically designed to fit the client’s budget & preferences. Clients have 30 days to make a deposit on a booking from the date the first quote is delivered. Bookings made after the 30-day mark will require the payment of another planning fee.

Ticketing & change fees are applicable when booking airfare only or as a separate component. Airfare included as part of an air-inclusive vacation package is not subject to ticketing & change fees.

 

All fees are non-refundable, separate from the cost of your trip & are in addition to fees that may be charged by the supplier.

Client Responsibilities

Travel documents, including passports, visas, & health/vaccination certificates required are your responsibility. Valid passports are absolutely required for all international destinations & the expiration date should be at least 6 months following the return date of your trip. Some countries require that your passport have two to four blank visa/stamp pages. Some airlines will not allow you to board if this requirement is not met. See this link for passport support. When traveling domestically or internationally, the U.S. Transportation Security Administration (TSA) & the U.S. Department of Homeland Security (DHS) advise that every traveler carry at least two forms of acceptable identification in order to board a flight. (See this link.) Examples: DHS designated enhanced driver’s license, USA Passport, a foreign government passport. The name, date of birth, & gender that appear on the identification card must exactly match the same data that is listed on airline ticket(s) & booking records.

Additionally, a visa &/or vaccinations may be required. Please note that even when a visa is issued, a traveler may be denied entry since each country’s local immigration officials make the final entry decision. Several factors including past criminal records may contribute to the decision of the local immigration official(s). Should a visa not be issued, Rachel Busch Jones &/or Island Bridal Inc. DBA Island Travel Group is not responsible for lost payments made toward the contemplated trip.

If traveling to or through Canada, travelers with a Driving While Intoxicated (DWI) or other conviction records, should always check whether current rules exclude admission. Rachel Busch Jones &/or Island Bridal Inc. DBA Island Travel Group feels it is an invasion of privacy to make such an inquiry of you. The final decision of entry rests with the immigration or border services officer. For more information see Canada’s government site & the Canadian Immigration facts.

Visit the USA State Department Website on a regular basis for information regarding the incidence of disease, terrorism, safety issues, crime, the need for travel documentation (such as passports, visas, proof of health/vaccination certificates), health hazards & other restrictions regarding travel to your domestic &/or international destination(s), & re-entry into the United States. Required or advised inoculations you decide to obtain upon the advice of your personal physician may need to be administered in a series of doses months ahead of your planned departure & such time element should be taken into account by you when making deposits &/or non-refundable final payments. Terms & Conditions

Availability & price quotes are applicable to the date & time at which they are requested & cannot be guaranteed until payment is made.

Rachel Busch Jones &/or Island Bridal Inc. DBA Island Travel Group will make every effort to honor the price as originally quoted, however, under certain circumstances, additional costs by a supplier or government may be imposed due to an increase in the cost for one or more of the travel components.

Flight confirmation is subject to availability & prices are subject to change after the date of deposit, including price increases in the fee for a seat assignment, fee for baggage, applicable fuel surcharges, or an increase in a government-imposed fee or tax.

Passport copies are required to confirm international air reservations. Correct legal names that match identification to be used for travel must be provided by the client to Rachel Busch Jones &/or Island Bridal Inc. DBA Island Travel Group. Name changes are not permitted on airline tickets. Clients are responsible for providing accurate information on the Client Traveler Profile form. Rachel Busch Jones &/or Island Bridal Inc. DBA Island Travel Group is not responsible for costs incurred by incorrect information provided for travel planning including reservations & airline tickets.


Once purchased, US air transaction prices will not increase, except for potential charges resulting from government-imposed taxes or fees. I consent to pay for such charges & authorize Rachel Busch Jones &/or Island Bridal Inc. DBA Island Travel Group to charge my credit card for such additional amounts.

Certain suppliers reserve the right to increase prices to cover increased costs, fuel surcharges, tariffs & taxes, & to reflect fluctuations in foreign exchange markets. If for any reason my credit card charges are later declined, reversed, or Rachel Busch Jones &/or Island Bridal Inc. DBA Island Travel Group is unable to receive payment for the travel plans & services, I acknowledge that this is a binding contract between myself & Rachel Busch Jones &/or Island Bridal Inc. DBA Island Travel Group shall be entitled to recovery, including reasonable attorneys’ fees in connection with the collection.

Rachel Busch Jones &/or Island Bridal Inc. DBA Island Travel Group offers retail travel services to customers, which are provided by separate & independent vendors of travel services. Rachel Busch Jones &/or Island Bridal Inc. DBA Island Travel Group does not operate, control, or otherwise provide the services of the independent travel vendors. Hence, the customer agrees that Rachel Busch Jones &/or Island Bridal Inc. DBA Island Travel Group acts only as agent for the client in acquiring transportation, hotel accommodations, sightseeing, & other privileges, or services for the clients’ benefit, & on the express condition that Rachel Busch Jones &/or Island Bridal Inc. DBA Island Travel Group shall not be responsible for any loss, accident, injury, delay, defect, omission or irregularity which may occur or be occasioned, whether by reason of any act, negligence or default of any company or person engaged in or responsible for carrying out any of the arrangements, or otherwise in connection therewith.
